Depilacja.pl is the largest chain of laser hair removal salons in Poland. It provides its services in over 50 salons in Poland and Great Britain.

THE CHALLENGE

Creation of a new version of Depilacja.pl website allowing for a better presentation of its offer and a more streamlined process of purchasing and booking of laser hair removal and endermology visits. Our dedicated solution was supposed to replace the previous version of the website based on one of the popular content management platforms.

PROJECT SCOPE

The project consisted of 4 modules:
  • An e-commerce platform presenting the company's offer in two versions, personalized for male and female clients, which allows for purchasing and booking treatments in a selected salon, on a selected date.
  • Client Panel where clients can manage orders and visit dates, as well as purchase packages tailored to the their needs.
  • Admin Panel, allowing for management of pricing, website content, salons as well as clients and their orders.
  • Panel of each laser hair removal salon, where cosmetologists can manage the scheduling of visits, payments and organize work schedules for the coming weeks.

HOW WE MADE IT HAPPEN

We started the process of creating a new version of the Depilacja.pl website with a thorough analysis of the current solution and a discussion with the client about the challenges of running the largest network of hair removal salons in Poland. These activities allowed us to design the most important functionalities of the website. We also selected a team of developers, technologies and a server service provider.


During the first stage of cooperation we created a graphic project of the website. We had to take into account the most important areas of the e-commerce platform in the beauty industry such as the price list, the salon map and the option of choosing a date of first visit in the purchasing process.

The design process was divided into two stages. In the first stage, we focused on User Experience and created mockups of the website, after which we created the final visual makeup of the website by adding colors and animation to the UX mockups.

METHODOLOGY

For this project we chose working in SCRUM methodology. The work was divided into key stages, and each stage into smaller tasks that we carried out in weekly sprints. At the end of each sprint, we decided on the scope of work for the coming days.

IMPLEMENTATION

Implementing a completely new version of the system with such a large group of users - the company's headquarters, cosmetologists, customers visiting the website - is always associated with a high risk. Together with the client, we decided to initially run the new version of the service concurrently with the old one and redirect only part of the traffic to the new site. As the first orders successfully appeared on the new panel, we increased the percentage of users operating on the new version of the site.

MAIN CHALLENGES:

Presence in two markets

Currently, the client has salons in two countries - in Poland and Great Britain - under two different brands. It was therefore necessary to prepare a solution that would allow managing many markets from one panel, minding the differences such as currency, prices or the offer itself. The solution also had to enable easy expansion to other markets.

Preparation of a dedicated content management system for the website

The previous version of the Depilacja.pl website was created using one of the popular content management platforms. Such systems are usually characterized by advanced and intuitive content editing. Our key challenge was therefore to give the Depilacja.pl team the ability to manage content on the website as easily and flexibly as well as to build new sales subpages. Editing the website using the custom CMS is done by using predefined modules whose parameters can be edited for the needs of a specific subpage. With the development of the website, new reusable modules are created, available when editing individual subpages.

Data migration

All data from the previous version of the website - incl. clients, dates of visits, payments - has been migrated and adapted to the structure of the new database. The migration made it possible to maintain the continuity of work in laser hair removal salons and in the analysis of sales results.

Data synchronization between the old and the new system

As a result of temporarily directing only part of the traffic to the new version of the website, a need for synchronization of data between the old and the new system has arisen. We have prepared a data flow tool, thanks to which cosmetologists can see visits from both versions of the website in their calendars.

Onboarding of users of the new system

The new system is built of modules that are used not only by cosmetologists in dozens of salons (both from Poland and Great Britain), but also by i.e. a call center or marketing department. The successful onboarding of so many people from different areas and countries is a very important task during the finalization of the project. For the purposes of this stage, we held many meetings with end users, during which we presented new functionalities and answered pressing questions. The meetings also resulted in the creation of instructional videos so new employees could be easily and quickly onboarded onto the system.

Eliminating limitations imposed by the popular content management system

As an industry leader, Depilacja.pl cannot afford limitations resulting from the use of ready-made solution. The new, dedicated system is fully flexible and responds to even the most unconventional needs.

The website underwent additional performance fine tuning in order to achieve high results in performance tests.

We undertook steps to shorten the time from making a business decision about entering a new market to the moment of implementing a website dedicated to the market.
